Kilimanjaro Climbing and Safari Cancellation Policy

We understand that booking an adventure like climbing Mount Kilimanjaro or going on a Tanzania safari is no small decision. These once-in-a-lifetime experiences require a significant investment of time, money, and energy, from airfare to accommodations and everything in between. Life, however, can be unpredictable, and sometimes you may need to adjust your plans.

Understanding Our Cancellation Policy

That’s why we’ve crafted a cancellation policy that’s designed to be fair and transparent, reflecting our commitment to working with you through any unexpected changes. Our goal is to give you the peace of mind that, should something come up, you’ll know exactly where you stand. Whether it’s a last-minute change or an unavoidable circumstance, our cancellation policy outlines what happens if you need to cancel or reschedule, and we’ll guide you through the process with professionalism and care.

Non-Refundable Deposit and Tour Payment

At Explore Trekking Adventure, we prioritize clear communication regarding cancellations and refunds to ensure our clients understand the terms before booking their tour. Our cancellation policy outlines the necessary conditions for receiving refunds and the penalties associated with cancellations.

 

If you cancel your tour more than a month before the tour start date, the full deposit paid will be non-refundable. For cancellations made one month or less before the tour, or if there is a no-show, 100% of the tour cost will be forfeited. We also note that there are no refunds for any unused portions of the program, and no refunds will be made for clients who do not complete their tour for their reasons.

Refunds and Penalties

For those who cancel after the payment of the full tour cost, if you cancel your tour one week after the payment is processed, you will receive a 75% refund of the total payment. If cancellation occurs 4 weeks to 2 months before the start date, a 50% refund will be offered.

Using the Non-Refundable 30% Deposit for Future Trips

It’s important to note that the 30% deposit used for accommodation bookings is non-refundable. However, if you wish to extend your departure date within a year, your 30% deposit can be used toward your new trip cost, provided the tour is booked through Explore Trekking Adventure within one year from your cancellation date. Any refund will be subject to wire transfer fees.

Adjustments to Tour Itinerary

For clients who have completed a tour program, no refunds will be provided. Please be mindful of the financial implications of cancellation, as we incur costs even when a client cancels their booking.

If you need to alter your tour itinerary, we reserve the right to adjust the route and accommodations when necessary to benefit the client. This may involve subcontracting part of the tour, replacing faulty vehicles, or making other adjustments due to unforeseen circumstances.

Travel Insurance and Liability

We also recommend purchasing travel insurance to cover potential risks. As these are adventure safaris, there are inherent dangers, and the company cannot be held liable for sickness, injury, damage to property, or other unforeseen events. A travel protection plan offers peace of mind in case you need to cancel or shorten your trip.
